Privacy Policy

The short version: Your audio is sent to a transcription service in real time and discarded. Your transcripts live on your device, encrypted. We don't sell, share, or train models on your data. If you cancel and ask us to delete your account, we will.
1. Who we are
Write On is a macOS voice-to-text application operated by Ryan Anselman, a sole proprietor based in Englewood, Colorado, USA. You can reach us at support@write-on.app.
2. What data we collect
Account data
When you create an account, we collect your email address and, if you sign in with Google or another OAuth provider, your name and profile picture. This is stored in our authentication system (Supabase).
Audio and transcripts
When you record audio in the app, the audio stream is sent to Deepgram, our speech-to-text provider, for real-time transcription. The audio is not stored on our servers or on Deepgram's servers — it is processed in transit and discarded. Deepgram's privacy practices are governed by their privacy policy.
The resulting transcripts are returned to your Mac and either pasted into the application you specified or stored locally in your transcript history (your choice in Preferences). When stored locally, transcripts are encrypted at rest using AES-256. We do not have a copy of your transcripts.
Usage data
To enforce free-tier limits and bill paid plans correctly, we record the duration of each transcription session (in seconds), the timestamp, and your account ID. We do not record the contents of what was transcribed.
Payment data
If you subscribe to a paid plan, payment is processed by Stripe. We do not store or have access to your full credit card information. Stripe sends us a customer ID and the status of your subscription. Stripe's handling of your data is governed by their privacy policy.
Diagnostic data
The app may collect anonymized crash reports and performance diagnostics to help us fix bugs. This includes the type of error, the version of the app, and the version of macOS. It does not include the contents of your transcripts or audio. We use this data only to improve reliability.
3. What we don't collect
- We do not record, store, or transmit your audio to any third party other than Deepgram for real-time transcription.
- We do not read, index, or analyze your transcripts.
- We do not sell your data to anyone.
- We do not use your data to train AI models — ours or anyone else's.
- We do not run advertising, retargeting pixels, or behavioral trackers on our website or in the app.
4. How we use your data
- Provide the service: authenticate you, transcribe your speech, enforce plan limits, bill you.
- Communicate: send essential service emails (receipts, password resets, trial-ending notices). We don't send marketing emails unless you opt in.
- Improve reliability: investigate crashes and performance issues using anonymized diagnostic data.
5. Third parties we share data with
We share only the minimum data necessary with these subprocessors:
- Deepgram — real-time speech-to-text processing (audio in transit only)
- Stripe — payment processing (email, subscription state)
- Supabase — account database and authentication (email, OAuth identity, usage logs)
- Cloudflare — request proxying and rate limiting (request metadata)
- Hostinger — website hosting (request metadata)
We do not share your data with advertisers, data brokers, or analytics aggregators.
6. Data retention
We keep your account data for as long as your account is active. If you delete your account, we remove your profile and usage logs within 30 days. Payment records may be retained longer where required by tax or accounting laws. Audio is never retained.
7. Your rights
Wherever you live, you can:
- Access the data we hold about you
- Correct inaccurate data
- Delete your account and associated data
- Export your data in a portable format
- Opt out of non-essential communications
If you're in the EU/UK (GDPR) or California (CCPA), you have additional rights, including the right to object to processing and the right to non-discrimination for exercising your rights. To exercise any right, email support@write-on.app.
8. Security
We use industry-standard practices: TLS for data in transit, AES-256 for transcripts at rest on your device, hashed and salted credentials, and least-privilege access to our backend. No system is perfectly secure, but we treat your data the way we'd want ours treated.
9. Children
Write On is not directed at children under 13. We do not knowingly collect data from anyone under 13. If you believe a child has provided us data, contact us and we will delete it.
10. Changes to this policy
If we change this policy in a material way, we will notify active users by email at least 14 days before the change takes effect. The current version is always at write-on.app/privacy.
